Real Futbol Inc. (“Real Futbol,” “we,” “our,” or “us”) cares about your privacy. This Privacy Policy explains how we collect, use, share, retain, and protect personal information when you use RFOS, our websites, member accounts, registrations, payments, programs, camps, events, communications, and related services.

This Policy is intended to be read with any registration terms, waivers, consent forms, payment terms, and organization-specific policies that apply to your participation. If you have questions, please contact us at hello@real-futbol.com.

Information We Collect

We collect information that is reasonably needed to operate RFOS, run safe programs, process payments, and support members and families.
  • Account information, such as name, email address, phone number, login status, communication preferences, and support requests.
  • Family and player information, such as player name, date of birth, gender, guardian or Family Manager relationships, emergency contacts, medical notes, allergy information, waiver status, and consent records.
  • Registration and participation information, such as Programs, Sessions, Events, Camps, Camp days, waitlists, attendance, cancellations, refunds, credits, assessments, development plans, coach notes, reflections, and progress records.
  • Payment and billing information, such as products purchased, orders, invoices, refunds, discounts, subscription status, credit grants, wallet activity, tax information, and provider transaction references. We do not store full card numbers.
  • Guest registration information, such as participant details, guardian or contact information, waivers, emergency contacts, selected Event occurrences or Camp days, and payment or cancellation status.
  • Website and technical information, such as IP address, device/browser information, pages visited, log data, cookies or similar technologies, and analytics used to maintain and improve the service.
  • Media and consent information, such as uploaded images or videos, subject associations, publishing approvals, and website, newsletter, or social media consent settings when these features are used.

Children, Minors, Parents, and Guardians

RFOS is designed for families and youth sports operations. Minors may participate in Real Futbol programs, but parent or guardian involvement is required where appropriate.
  • Parents or guardians should provide registration, emergency, medical, waiver, and billing information for minor players.
  • Children under 13 may not create an online account or provide personal information directly. A parent or guardian must manage the account and registration process.
  • Family Managers may be invited to help manage a player profile. They may be able to view or manage player details, registrations, waivers, medical information, emergency contacts, progress, and related records.
  • Parents or guardians may request access to, correction of, or deletion of a minor player's personal information, subject to legal, safety, accounting, dispute, and operational retention requirements.
  • If we learn that a child has provided personal information without appropriate parent or guardian involvement, we will take reasonable steps to delete or correct the information or obtain appropriate involvement.

How We Use Information

We do not sell or rent personal information. We use personal information for purposes that are reasonably connected to RFOS and Real Futbol services.
  • Create and manage accounts, player profiles, Family Manager links, organization access, and member support.
  • Register players and guests for Programs, Sessions, Events, Camps, Camp days, waitlists, assessments, and related activities.
  • Process payments, subscriptions, credits, refunds, discounts, invoices, taxes, accounting records, and financial reconciliation.
  • Communicate about registrations, reminders, cancellations, refunds, schedules, attendance, support requests, emergencies, updates, and service notices.
  • Support player safety, including emergency contacts, medical notes, allergy information, waiver status, attendance, check-in, and staff visibility.
  • Track development and participation, including assessments, development plans, reflections, coach feedback, and progress history.
  • Operate, secure, troubleshoot, audit, and improve RFOS, including preventing fraud, enforcing policies, maintaining logs, and improving user experience.
  • Publish or use media only where the required approvals, permissions, and consent settings allow it.

When We Share Information

We share personal information only where reasonably necessary to provide RFOS, operate Real Futbol services, meet legal obligations, or protect safety.
  • With coaches, staff, administrators, and authorized organization personnel who need the information to run programs, manage safety, support families, or operate the organization.
  • With Family Managers or guardians who are linked to a player profile and authorized to manage or view that player's information.
  • With service providers that help us operate RFOS, such as hosting, authentication, email, support, analytics, payment processing, accounting, storage, communications, and security providers.
  • With payment and accounting providers, including Stripe and QuickBooks Online, to process payments, subscriptions, refunds, invoices, taxes, payouts, and accounting synchronization.
  • With emergency contacts, medical responders, insurers, legal advisors, regulators, law enforcement, or other parties when reasonably necessary for safety, legal compliance, dispute resolution, fraud prevention, or protection of rights.
  • With public website or media surfaces only when the relevant visibility, approval, and consent settings allow the information or media to be published.

Service Providers and Cross-Border Processing

RFOS may use service providers located in Canada, the United States, or other jurisdictions. Personal information processed by those providers may be subject to the laws of the jurisdiction where it is processed. We use contractual, technical, and organizational measures intended to protect personal information handled by service providers.

    Cookies, Analytics, and Technical Data

    We may use cookies, logs, analytics, and similar technologies to keep users signed in, maintain security, remember preferences, measure website performance, understand usage, troubleshoot issues, and improve RFOS. Where optional marketing or analytics choices are available, you may manage them through the applicable browser, device, or RFOS settings.

      Security and Safeguards

      We use reasonable technical, administrative, and organizational safeguards appropriate to the sensitivity of the information. Safeguards may include access controls, authentication, role-based permissions, audit records, secure service providers, encryption in transit, backups, and operational monitoring. No system is completely secure, so we encourage members and guardians to keep login details private and contact us if they suspect unauthorized access.

        Retention

        We retain personal information only as long as reasonably necessary for the purposes described in this Policy or as required for legal, safety, accounting, tax, insurance, dispute, audit, fraud-prevention, and operational reasons. Some records, such as payment, refund, waiver, consent, attendance, safety, and accounting records, may need to be retained even after an account, registration, or membership ends.

          Privacy Incidents

          If we become aware of a privacy or security incident involving personal information, we will assess the incident and take reasonable steps to contain it, investigate it, reduce risk, and notify affected individuals, organizations, service providers, regulators, or other parties when required by law or appropriate in the circumstances.

            Your Choices & Rights

            You may contact us to make privacy requests. We will respond in a reasonable time and may need to verify your identity or authority before acting on a request.
            • Request access to personal information we hold about you or a minor player you are authorized to manage.
            • Request correction of inaccurate or incomplete personal information.
            • Request deletion of personal information, subject to legal, safety, accounting, tax, dispute, audit, and operational retention requirements.
            • Withdraw consent where consent is optional. If information is required to provide a service, withdrawing consent may limit participation, access, safety support, registrations, payments, or account functionality.
            • Opt out of marketing emails by using the unsubscribe link or contacting us. You may still receive transactional, safety, billing, registration, and service messages.
            • Ask questions or raise a concern about how personal information is handled.

            Accuracy

            Members, parents, guardians, Family Managers, and organization administrators are responsible for keeping account, player, emergency, medical, waiver, and billing information accurate and up to date. Please update information in RFOS or contact us if something is wrong.

              Changes to This Policy

              We may update this Privacy Policy from time to time. If we make material changes, we will update the date above and provide notice through RFOS, our website, email, or another reasonable method.
